Guidelines for proposal submission
Each workshop is intended to foster discussion and exchange of ideas on a hot topic in the broader field of HCI, sharing and extending knowledge through an interactive session with the active participation of workshop attendees.
Prospective workshop organizers should submit their proposal through the Conference Management System (CMS). The proposal should be about 2 to 3 pages long and include the following:
- A description of the topic of the workshop and its importance.
- The description of how the workshop will be conducted and an indicative agenda.
- Expected outcomes of the workshop.
- Useful links and references.
- Short bio-sketches of the workshop organizers.

Organization of accepted workshops
Organizers of accepted workshops are required to:
- Prepare the Call for Participation for soliciting submissions to be posted on the HCII 2025 Conference website (and other media) that will describe the submission requirements and the workshop workflow and objectives.
- Publicize the workshop in their own website, social media and other possible channels with the aim to solicit submissions.
- Decide on the final list of accepted contributions, based on the outcome of a peer-review process that they will organize.
- Create a final agenda for the workshop.
- The workshop duration will be 4 hours including a 30-minute refreshment break. Workshops will take place during the first three days of the Conference, i.e. 22 - 24 June 2025, morning (08:30-12:30) or afternoon (13:30-17:30), as ‘hybrid’ events.
For each workshop a meeting room will be allocated in a classroom style setup with a head table. Each room will be equipped with:
- A projection screen and a projector or a large monitor.
- A sound system with a microphone.
- A camera.
- A laptop PC connected to the projector/monitor, the sound system and the camera.
Modality of Operation of Workshops
Workshops will run as 'hybrid' events. Organizers are themselves expected to attend in-person, while participants will have the option to attend either 'in-person' or 'virtually'. The total number of participants per workshop cannot be less than 8 or exceed 25.
Each workshop is entitled to one complimentary Conference registration, which can be applied either to one of the workshop organizers or to a participant, based on the choice of the lead workshop organizer.
PARTICIPATION
Workshops are ‘closed’ events, i.e. only authors of accepted submissions for a workshop will be able to register to attend the specific workshop, complimentary with their Conference registration.
Publication
The contributions to be presented in the context of workshops will not be automatically included in the Conference proceedings.
However, after consultation with the workshop organizer(s), authors of accepted workshop proposals who are registered for the Conference are welcome to submit, through the Conference Management System (CMS), an extended version of their workshop contribution to be considered, following further peer review, for presentation at the Conference and inclusion in the “Late Breaking” volumes of the Conference proceedings, either in the LNCS as a long paper (typically 12 pages, but no less than 10 and no more than 20 pages), or in the CCIS as a short paper/extended poster abstract (typically 6 pages, but no less than 4 and no more than 11).
Workshop organizers are also encouraged to consider and explore the (additional) possibility of preparing a paper (short or long) which will present the collaborative efforts of their workshop participants, and can be submitted in October 2025 to be considered for publication in the context of the HCII 2026 Conference Proceedings.
